They continue to be a consistent top performer for Large Oil companies when it comes to image, customer service, and volume growth.Job DetailsWe are looking for an Executive Assistant who has also managed front office business processes such as accounts receivable, accounts payable, and all other administrative support while holding responsible for maximizing the leadership team 's time and promoting a positive company image. Through his/her duties as a liaison, the executive assistant to ex will maintain relationships between the leadership team, executives, and employees. Additionally, he/she will keep company departments informed of important changes and internal company details. This position will assist the leadership team with extracting reports via company's ERP system while also supporting him managing personal finances.Job ResponsibilitiesProfessionally represent the leadership team when greeting guests, organizing company events, reviewing correspondence and responding to inquiries made to the president.Develop itineraries and agendas including scheduling flights, arranging other transportation and booking accommodations.Complete special projects as assigned by the leadership team. May include creative problem solving, progress oversight, working with multiple company departments and extensive company research.Maintain effective daily operations and make suggestions for process improvements when necessary.Manage highly confidential and time-sensitive projects with discretion and minimal guidanceReview, prepare and report legal documents such as contracts and other legal forms and documentsFile and organize documents; Banking- balancing personal checkbooksDraft internal correspondence and reportsCorrespond with attorneys, contractors, local and state authorities, agencies, etc. as neededCompletes projects and assignments assigned by the leadership teamCompiles letters, notes, memos, documents and other items for the leadership teamPrepare and present various reports requested by the leadership teamProperty Management responsibilities such as collecting rents and coordinating and solving all other property issuesQualificationsBachelor's Degree, Business Management, Finance, Accounting, or related majorsExperience with Accounts payable, Accounts Receivable and other office administrative dutiesStrong in Math and Excel5+ years of experience as an executive assistant or any related positions such as Accounts Payable, Accounts Receivable, Office Administrative workExcellent verbal and written communication skillsDetail- and deadline-oriented multi-taskerAbility to make decisions under pressureStrong organizational skillsComputer savvy and proficient in Microsoft Office (Word, Excel)Solid knowledge of office proceduresDrive to improve a company and ensure its successProfessional appearance and demeanorInterested in hearing more?
